Contract Administrator

This position administers contracts and manages bid submittals for government and commercial contracts within the Business Operations Department, supporting Sales.

Duties and Responsibilities:
• Researches and analyzes law sources such as statutes, legal articles, treaties, constitutions, and legal codes (e.g., FAR, DFAR) as needed or directed.

• Prepares legal documents such as deal summaries, commercial and government contracts, initial and buy-sell agreements. Manages dealer agreements.

• Reviews and analyzes customer contracts and agreements, IDIQs, request for proposals and provides guidance and identifies contractual risk. Submits bids and proposals.

• Prepares RFP/RFI risk analysis. Provide risk mitigation. Acts as negotiator and liaison between disputing parties for contractual matters.

• Maintains and organizes legal and contractual files.

• Performs contract management including amendments, order placement oversight, shipping schedules, scope changes and other related duties.

• Coordinates with other departments to ensure contract and bid requirements are met.

• Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be expected.

• Drafts customer correspondence, reports, and other documents pertaining to contract status and contract performance.

• Identifies and provides recommendations for process improvements within department.

• All other duties as assigned by Supervisor, including backup for other team members.

• Monthly / yearly reporting of bid and contract activity.

• Ensure state and local contracts are renewed. Update price lists through contract modifications.

• Ensures client is licensed to do business in all states.

• Monitor S.A.M government site.

• Monitors various lead sources and distributes leads to sales team.

Knowledge, Skills & Education:
• Strong Microsoft Outlook, Excel, Word, Power Point and Adobe Acrobat skills
